Position Summary:
Timber Lake Playhouse, Illinois’ leading summer theatre, is seeking a highly organized and proactive Production Assistant to serve as the Executive Assistant to the Artistic Director and provide key administrative and operational support to the Board of Directors. This role is ideal for a motivated individual with a passion for the arts, who is savvy with technology, has exceptional organizational skills, and a keen ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities:
Executive & Administrative Support
● Act as the primary assistant to the Artistic Director, managing schedules, communications, and administrative tasks.
● Coordinate meetings, take minutes, and follow up on action items for the Artistic Director and Board of Directors.
● Prepare reports, presentations, and correspondence on behalf of the Artistic Director.
● Maintain organized records, documents, and databases relevant to artistic and operational initiatives.
● Handle confidential information with discretion and professionalism.
Board of Directors Support
● Assist in the planning and coordination of Board meetings, including scheduling, agenda preparation, and material distribution.
● Record and distribute notes and follow up on Board action items.
● Support Board members with logistics, communication, and meeting preparation as needed.
● Coordinate special projects and fundraising initiatives in collaboration with Board committees.
Production & Event Support
● Provide operational support for productions, special events, and development activities.
● Coordinate travel, housing, and logistical arrangements for guest artists and staff.
● Assist in production scheduling, communication with cast and crew, and administrative
oversight.
● Liaise between artistic, production, and administrative departments to ensure smooth
workflow.
Marketing & Outreach Assistance
● Support marketing and fundraising campaigns by assisting with communications,
promotional materials, and event coordination.
● Maintain TLP’s contact lists and outreach efforts to donors, sponsors, and community
partners.
● Assist with content creation for newsletters, social media, and other digital platforms as
needed.
Qualifications & Skills:
● Must be local to the Carroll County area.
● Must have a valid driver's license.
● Must have a personal laptop to use for work.
● Ability to lift 50 lbs.
● Strong organizational and administrative skills with attention to detail.
● Excellent verbal and written communication abilities.
● Strong reading comprehension skills and ability to write strong copy with a quick
turnaround.
● Ability to manage multiple tasks in a fast-paced environment and meet deadlines.
● Experience in an executive assistant or administrative role, preferably in a non-profit or
arts organization.
● Proficiency in Microsoft Office Suite, Google Workspace, and other relevant
administrative tools.
● In touch with emerging technologies, social media, and other types of streamlining tech.
● Knowledge of theatre operations or prior experience in an arts-related role is a plus.
● High level of professionalism, discretion, and ability to handle confidential information.
● A proactive, problem-solving mindset with a self-starter attitude.
Work Schedule & Compensation:
● Seasonal position (February – September) with potential for additional off-season work.
● Evening and weekend availability required, particularly during the production season.
● Compensation: $600/wk
